Terms & Conditions

By booking with Carvoeiro Villa Holidays, you enter into a contract with us. The person named on the booking form (the "Client") accepts responsibility for all members of their party. Making a reservation through Carvoeiro Villa Holidays confirms your acceptance of these terms and conditions.

1. Payments & Cancellations

• A non-refundable deposit is required to confirm your booking.
• The remaining balance must be paid no later than 8 weeks before arrival. If payment is not received by this deadline, the booking will be considered cancelled, and no refund will be issued.
• Cancellations within 8 weeks of arrival are non-refundable. We strongly recommend that guests purchase travel insurance at the time of booking unless they already have an annual travel insurance policy.
• Last-minute bookings (made less than 8 weeks before arrival) require immediate full payment.

2. Security Deposit

• A refundable security deposit is required with the final payment to cover any damages or breakages.
• After your departure, the property will be inspected. If no issues are found, your deposit will be refunded within 14 days.
• If the property is occupied by more guests than agreed, the full security deposit will be forfeited.

3. Additional Charges

• Stays between November and March will incur an additional electricity charge, billed at the local supplier's standard rate. This fee can be paid on-site. If not paid, we reserve the right to deduct it from your security deposit.

4. House Rules & Guest Responsibilities

To ensure a pleasant stay for all guests, the following house rules apply:

• No smoking inside the property.
• No pets allowed unless agreed in advance.
• Guests must respect neighbours and keep noise levels low, especially between 10:00 PM and 8:00 AM.
• Lost keys may result in a charge for replacement locks.
• The property must be left in a reasonable condition upon departure. Additional cleaning fees may apply if extra cleaning is required.

Failure to adhere to these rules may result in the forfeiture of the security deposit.

5. Use of Amenities & Pool Safety

• Guests use the swimming pool and other facilities at their own risk.
• Children must always be supervised around the pool.
• Pool towels provided are for pool use only (not for the beach).
• The management is not liable for injuries resulting from the misuse of property facilities.

6. Property Availability & Check-in/Check-out

• Properties are available for check-in from 3:00 PM on your arrival date and must be vacated by 10:00 AM on departure day.
• If you require an early check-in or late check-out, please contact us in advance, and we will do our best to accommodate you.
• If, due to circumstances beyond our control, the booked property becomes unavailable, we will do our best to offer a comparable alternative. If you choose not to accept the replacement property, you will receive a full refund of all payments made.

7. Travel Documents & Insurance

• It is your responsibility to ensure you have the correct travel documents (e.g., passports, tickets, visas) and adequate travel insurance for the duration of your stay.
• We strongly advise that travel insurance starts from the date of booking to cover unforeseen cancellations.
• Your personal safety in the property and surrounding areas is your own responsibility.

8. Complaints & Maintenance Issues

• Any problems with the property must be reported immediately to Management while you are in the resort. We will make every effort to resolve the issue as quickly as possible.
• If you leave the property or take action without notifying Management or allowing time for the issue to be resolved, you forfeit any right to a refund or compensation.
• Complaints made after your stay cannot be considered.

9. Liability & Force Majeure

We are not responsible for:

• Environmental noise (e.g., traffic, barking dogs).
• Power outages, water shortages, lift breakdowns, or other facility failures beyond our control.
• The unavailability of facilities if withdrawn by the complex or hotel management without notice.
• The lack of sun loungers by the pool during the winter months.

Force Majeure (Unforeseen Events)

In the event of natural disasters, pandemics, extreme weather, strikes, or government travel restrictions, we will make every effort to assist you. However, refunds or rescheduling options will be offered at our discretion.

10. Departure & Key Return

• The property must be vacated by 10:00 AM on your departure day, regardless of your flight time, unless otherwise agreed in writing with Carvoeiro Villa Holidays Management.
• Failure to vacate the property on time may result in the forfeiture of your security deposit.

11. GDPR & Privacy Policy

• We take the privacy of our guests seriously. Personal data collected (e.g., passport details, contact information) is used solely for booking and legal requirements.
• Guest information is not shared with third parties unless required by law.

12. Acceptance of Terms

• Payment of a deposit confirms your acceptance of these terms and conditions.
